Privacy Policy

Happy Hear Audio ("we", "our", or "us") operates happyhearaudio.com. This Privacy Policy explains what information we collect, how we use it, and your rights with respect to it. By using our service, you agree to the collection and use of information in accordance with this policy.
1. Information We Collect
Account information: When you create an account, we collect your email address, company name, and optional logo/branding assets.
Payment information: Payments are processed by Stripe. We store only your Stripe customer ID — we never see or store your full card number.
Audio files (uploaded): You upload audio recordings to our platform. These files are stored securely in Supabase Storage and are only accessible to you and the guests you share your gallery with.
Audio files (call-in guestbook): When guests call the Happy Hear Audio virtual phone number (+1-844-604-2019), their voicemail is recorded via Twilio and stored in your event gallery. Guest phone numbers are partially masked — only the last 4 digits are retained. We do not store the full phone number.
SMS interactions: When guests text an event code to the virtual phone number, we receive and store the message content and partially masked phone number solely to process the guestbook entry. We do not use this information for marketing.
Usage data: We collect anonymized analytics about how galleries are viewed (play counts, downloads, page visits) to show you engagement data.
Analytics data: We use Google Analytics 4 and Hotjar to understand how visitors use our site. These tools may collect your IP address, browser type, pages visited, and interaction patterns. See Section 7 for details.
Log data: Our servers automatically record standard log information including IP addresses, browser type, and pages visited.
2. How We Use Your Information
- To operate and provide the Happy Hear Audio service
- To process payments and send receipts
- To process your audio files with AI (transcription, noise reduction, emotion tagging)
- To send you transactional emails (account verification, payment confirmations)
- To respond to support requests
- To improve our product based on anonymized usage patterns
We do not sell your personal data. We do not use your audio content to train AI models.
3. Data Sharing
We share your data only with the following trusted third-party service providers, and only to the extent necessary to operate the service:
- Supabase — database and file storage (US)
- Stripe — payment processing
- Twilio — virtual phone number, call recording, and SMS delivery
- OpenAI — audio transcription and emotion tagging (audio is processed and not retained by OpenAI beyond the API request)
- Auphonic — audio noise reduction (files are deleted after processing)
- Resend — transactional email delivery
- Google Analytics 4 — anonymized site analytics
- Hotjar — session recording and heatmaps (operators only; no guest gallery data is tracked by Hotjar)
- Vercel — hosting and edge functions
We do not share your data with advertisers, data brokers, or any other third parties.
4. Data Retention
We retain your account data and uploaded audio files for as long as your account is active. If you delete your account, your data is permanently deleted within 30 days. You may also delete individual events and audio files at any time from your dashboard.
5. Security
We use industry-standard security measures including encryption in transit (HTTPS/TLS), encrypted storage, and access controls. No method of transmission over the internet is 100% secure, and we cannot guarantee absolute security.
6. Your Rights
Depending on your location, you may have the right to:
- Access a copy of the personal data we hold about you
- Request correction of inaccurate data
- Request deletion of your data
- Object to or restrict processing of your data
- Data portability

7. Audio Recording Consent (California)
California law (Penal Code § 632, California Invasion of Privacy Act) requires all parties to a recorded conversation to consent to the recording.
For guests using the call-in guestbook: By calling the Happy Hear Audio virtual phone number (+1-844-604-2019), you are calling a number that records voicemail messages by design. A disclosure is played at the start of the call informing you that your message will be recorded. Leaving a message after the disclosure constitutes your consent to the recording.
For operators: You are responsible for ensuring your event guests are informed that calls to your guestbook number will be recorded. This includes displaying the Happy Hear Audio guestbook flyer or otherwise notifying guests before they call. By activating the virtual phone feature, you agree to comply with applicable recording consent laws in your jurisdiction.
8. SMS / Text Messaging
When guests text an event code to the Happy Hear Audio guestbook number, they are initiating contact and opting in to receive up to 2 automated SMS replies related to their guestbook entry. No marketing messages are sent.
Message & data rates may apply. Happy Hear Audio does not charge fees for SMS, but your mobile carrier may charge standard message and data rates.
Opt-out: Text STOP to the event number at any time to stop receiving messages. Text HELP for support contact information.
Guest phone numbers collected via SMS are partially masked (last 4 digits only) and are never sold or used for marketing. SMS is provided via Twilio.
9. Cookies
We use the following types of cookies:
- Essential cookies — keep you signed in and protect against CSRF attacks. These cannot be disabled without breaking the service.
- Analytics cookies (GA4) — Google Analytics 4 tracks anonymized usage patterns (pages visited, session duration, browser type). You can opt out via Google's opt-out tool.
- Session recording (Hotjar) — Hotjar records mouse movements and clicks on the marketing site to help us improve usability. Hotjar does not track activity inside your dashboard or guest galleries. You can opt out at hotjar.com/opt-out.

10. Children's Privacy
Happy Hear Audio is not directed at children under 13. We do not knowingly collect personal data from children. If you believe we have inadvertently collected such data, please contact us immediately.
11. International Transfers
Our services are operated from the United States. If you are accessing from the EU, UK, or elsewhere, your data may be transferred to and processed in the US. We rely on standard contractual clauses and our data processor agreements to safeguard such transfers.
12. Changes to This Policy
We may update this Privacy Policy from time to time. We will notify you of significant changes by email or by posting a notice on our site. Your continued use of the service after changes constitutes acceptance.
